About the Role
We are currently seeking a highly organized and proactive individual to join our team in Canada as an Executive Assistant. In this role, you will provide comprehensive administrative support to our executives, ensuring smooth operations and efficient communication. Your ability to prioritize tasks, maintain confidentiality, and handle sensitive information will be essential in this role.
Responsibilities:
• Manage and maintain executives' calendars, including scheduling meetings, appointments, and travel arrangements
• Coordinate and prepare meeting materials, presentations, and reports
• Attend meetings, take minutes, and follow up on action items
• Handle incoming and outgoing communications, including emails, phone calls, and correspondence
• Organize and maintain both physical and electronic files and documents
• Assist in the preparation of financial reports, budgets, and expense tracking
• Conduct research and gather information for various projects and initiatives
• Coordinate and liaise with internal and external stakeholders, maintaining positive relationships
• Assist with special projects and events as required
• Handle confidential and sensitive information with discretion and professionalism
• Provide general administrative support, such as ordering supplies, managing office equipment, and maintaining office cleanliness

Salary Range - 3000 - 7500 CAD (commensurate with experience and qualifications)
Working Hours - 8 hours a Day
Working Days - 5 Days a week
Food, transportation, and accommodation will be provided by the company
The documentation process may take approximately 2-3 months
QUALIFICATIONS
Bachelor's degree in Business Administration, Office Management, or a related field
Proven experience as an executive assistant or in a similar role
Excellent organizational and time management skills
Strong attention to detail and accuracy
Exceptional written and verbal communication skills
Proficiency in MS Office Suite and other relevant software applications
Ability to multitask and prioritize tasks effectively
Professionalism, integrity, and ability to maintain confidentiality
Strong problem-solving and decision-making abilities
Excellent interpersonal skills and ability to work effectively with diverse teams
Knowledge of Canadian business practices and office management procedures is an asset
